This form must be completed no less than two weeks from the date of your request to be considered. You will be notified within one week regarding the approval or decline of your request.

We have 3 different classrooms to choose from. Each can hold several tables and chairs with seating for up to 50 people at tables in the largest classroom.

Request for food storage only. NO cooking or food prep allowed.

Request for baking or cooking usage. (Granted in rare circumstances.)

We have 2 different rooms to choose from. One can seat approx. 12-15 people. The other one can seat approx. 8 people and provides a privacy curtain.

Agreements

If my rental inquiry is approved, I agree to the following terms and conditions:

This contract for the rental of the "Auditorium" and/or "Gym" and/or "Kitchen" at Grace Church is made this day by and between Grace Church, hereafter referred to as the "Owner" and myself, hereafter referred to as the "Renter."

Whereas, the Renter desires to temporarily rent, occupy, and make use of the "Auditorium" and/or "Gym" and/or "Kitchen" at Grace Church, 622 Old Lancaster Pike, Reading, PA 19607.

Whereas, the Owner agrees to such rental, occupation, and use in consideration of certain payments.

Now, therefore, the parties agree to the following terms and conditions:

PRIMARY USE
The primary use for the Church’s facilities is for Church services and official Church events. A secondary purpose for which the Church’s facilities may be available is for approved use by the congregation of the Church and in limited circumstances members of the public. Ultimately, every use of Church property shall be for a purpose that glorifies God.

RELIGIOUS VALUES
The Church’s facilities shall not be utilized in a manner that would violate the Church’s principles or be used by persons or groups holding, advancing, or advocating beliefs, or advancing, advocating, or engaging in practices that conflict with the Church’s faith or moral teachings, which are summarized in, among other places, the Church’s Bylaws. Nor may facilities be used for activities that contradict, or are deemed by the Board of Trustees as inconsistent with, or contrary to the Church’s faith or moral teachings. The reason for these restrictions on the use of Church property is because this Church is not a business, but rather, a house of worship established specifically for religious purposes. Any use of Church property inconsistent with the religious mission of the Church or the religious values of the Church, would be contrary to the very purpose for which this Church was established and would be a violation of this Church’s commitment to use the property of the Church for the furtherance of the Gospel.

RENTAL ACCESS
The Renter shall have access to and use of the facility for the date/dates requested. The Owner shall provide the Renter with all keys or access codes that are necessary to give the Renter such access. Within 15 minutes of the Renter period's expiration, the Renter shall tender to the Owner all keys in his/her possession. Activities must be confined to area requested only.

RENTAL FEES
The Renter shall pay the Owner the sum as outlined per rental area. This amount must be paid by the Renter using the registration link that will be emailed by the Owner.

CANCELLATION
The Renter may cancel the facility rental up to and including five business days prior to the dates of the event. If the Renter has paid any funds prior to cancellation, those funds will be returned. If a cancellation is received three days prior to the date of the event, the Owner will retain the deposit, excepting circumstance of inclement weather conditions that prevent safe entrance on our campus.

The Owner reserves the right to cancel any scheduled activities at any point in order to accommodate any church activities. The Owner also reserves the right to cancel any scheduled event/activity for non-compliance with established guidelines and/or this agreement.

RELEASE OF LIABILITY
The Renter hereby waives and releases the Owner and its employees from any liability and/or claim for personal injury, property damage, or death that may arise during the Renter's use of the facility. The Renter accepts total responsibility for any and all injuries or damages or legal action of any kind which may result from any reason during the use of the facility. It is the Renter's intention to hold harmless the Owner for any injury sustained by the Renter or anyone else, regardless of cause, while using the facility.

GENERAL GUIDELINES

Decorations must be free-standing. No open candle flames are allowed. No glitter is allowed inside the building. The Owner does not allow the placement of signs, placards, or postcards around the facility promoting events held on the premises. Special permission must be granted by the Owner.

Foul and abusive language and music, threats of violence, and any similar behavior is prohibited while using the facilities, and any such behavior will subject the person or entire group to immediate removal.

The Renter may not utilize the facilities in a way that would violate the Internal Revenue Service's prohibition on political activity for organizations exempt from federal income tax under Sections 502 (c)(3) of the Internal Revenue Code.

Property/Damage:
The Renter will assume full responsibility for any damage, destruction, or loss of church property during the event. All the Owner's property of any kind is not to be removed from the premises. The Renter will be liable for any physical damages, legal actions, and/or loss of reputation or business opportunities that the Owner may incur as a consequence of the actions of the Renter or any of the Renter's guests while the Renter is in control of the venue, and shall indemnify and hold harmless the Owner against any and all legal actions which may arise from the Renter's use of the venue.

Alcohol, Drugs, and Tobacco:
The facility is an alcohol, drug, and tobacco-free facility and campus. Guests should be informed prior to arrival.

Original Condition:
The Renter agrees to leave the facility in its original condition. This includes ensuring all trash (inside and outside) is placed in the campus dumpster and ensuring all furniture is put back in place.

I AFFIRM THAT

1. I have read and understood this contract and agree to abide by it at all times while utilizing Grace Church.

2. To the best of my knowledge the values and beliefs of myself and/or the organization I am representing in this rental inquiry, are consistent with the beliefs and values of Grace Church, and I commit to immediately disclose any potential conflict for which I am aware or become aware to Grace Church.

Upon requesting the use of Grace Church facilities, I hereby acknowledge that I have read and understand the policy and expectations as outlined in this Facility Use Agreement.

I commit to reimbursing Grace Church for any damages that may result while using the facility, as well as any costs incurred as outlined in this agreement.

By typing my full name below, I accept full responsibility for the conduct and safety of the group. I release Grace Church from any liability for injuries or losses during our time of use.
